The Adult Ministry Assistant will help support all adult ministries in Calvary Church, including men’s and women’s ministries, community hour, small groups, and young adults. 

Time Requirements 

This part-time, hourly position requires 20 hours per week (including Tuesday- Friday, Sunday hours, and occasional special events). 

Job Responsibilities 

∙ Assist with scheduling, planning, promoting, and evaluating all Calvary Church events in the Adult Ministries area, including weekly gatherings and special events. 

Prepare, update, organize, and distribute all materials for weekly meetings and special events  

Set schedule and communicate directly with pastors and ministry leaders to get needed information 

Collaborate with communications team on promotions, announcements, and any printed materials 

Assist with meeting/event organization and set-up 

▪ Tables, materials, any potential food/coffee arrangements, etc. 

Monitor and record attendance and participant information 

∙ Update and maintain Planning Center 

Serve as the first point of contact for new attendees 

Communicate and coordinate with First Impressions Team to help connect new people ∙ Office contact for Calvary small groups 

Available to provide support and help with materials and resources when needed 

-  Communicate and collaborate with other pastors, support staff, and volunteers 

- Attend weekly administrative assistant meetings, monthly all-staff meetings, and any meetings upon request ∙ General office duties, including phone calls, copying, filing, mailings, record-keeping, and communications

- Assist with front desk, (1-4 hours per week) 

- Any additional duties as assigned by direct report or Lead Pastor 

Requirements & Skillset 

∙ Knowledge and ability with office and administrative procedures 

∙ Experience working with teams and ministry groups 

∙ Strong interpersonal skills; a warm and friendly personality, with a willingness to meet the needs of people 

∙ Clarity in communication and organization (i.e. written and verbal) 

∙ Proficient in Planning Center 

∙ Ability to multitask and manage multiple activities 

∙ High level of confidentiality 

∙ Collaborative and team-oriented
